are giving this uh activity duration for

basically uh
if if we are out of construction the
rule is uh 8 by 80. It is called 8 by 80
so this is the rule. Okay. An activity
should have at least 8 hours and it
should not exceed 80 hours.
Okay, which means uh activity duration
should be at least 1 day or 10 uh
maximum 10 days. Okay, this is general rule.

Okay, but uh what we have in in
construction it is it is not possible to
have 10 days for activities. What will
happen if I'm giving just 10 days for
this site store establishment? I have to
break down into three activities. So 10
days, 10 days, 8 days like that, right?
Maybe site store uh I I have to break
down this activity basically. Site
office establishment 21 days I have to
break down into two 10 10 days. Uh
office installment then uh office
service work like that I have to break
down. Okay. But in construction we have
that exceptions. We can have 28 days
maximum in any uh activity. Not just 10
days. We can have up to 28 days we can
have we should not have more than 28
days. Okay, that will not give proper
critical path and it is not the right
thing to do. Imagine if if I have an
activity I'm giving 90 days duration.
Okay, uh my total project duration is 1
year 360 days. I have four activity 90
days. So what will happen? That activity
will not get updated till 90th day. 90
days it will be sleeping that activity
right? we we cannot close that activity
for 90 days. So that is not a proper
project monitoring. So we have to break
down that three activities so that
monthly once we can close one activity.
Okay. So that is why uh we are having
this rules. We should not have more than
28 days. If it is having more than 28
days, we have to break down that
activity. Example uh if you are having u
if you're having like uh what we are
seeing here is a tunnel works right to
to do 1 kilometers of tunneling it will
take 120 days but I cannot give 120 days
for tunnel one tunnel 2 120 days tunnel
3 120 days I cannot give like that so
tunnel one I have to break down earth
work 30 days after that concreting works
30 days then inside tunnel works 30 days
like that I have to break So uh 30 means
28 days. Okay. Uh that is what uh in a
month we will have working days more or
less 24 to 28 not more than that. Okay.
That is why the 28 days rules is there.
Okay. Just keep that in mind. If you
have a bigger activity just to break
down into two or three uh that will uh
that will allow us to do the better
monitoring in a project. Okay. Now, so
how to give uh this name uh activity
names and this duration we have seen.
Now let's switch to this uh
activity ID. Okay, this activity ID is
important for identifying the activity.

basically if someone just seeing the
activity you see if in engineering we
will have a drawing uh drawing
submissions right drawing submission and
approach let's say one uh drawing name
okay uh civil coordination layout okay
so we will have activity civil
coordination layout and drawing
submission for submission for approval
also we will have the same activity
civil coordination layout here we will
submit here we will approve
But I'm not seeing this heading. I'm
just seeing the activity civil
coordination layout. How will I identify
it is submission activity or approval
activity? I may get confused. Okay. Uh
it is uh when you are having activities
3,000 4,000 activities in a schedule.
Lot of time you will have this uh
confusion. Uh for example, I I will give
better example. We have 20 floor
building. Okay. In floor one uh concrete
pouring we have an activity floor two
also we have a concrete pouring floor
three till floor 30 we are having that
concrete pouring activity or slab
activity most of the activities are
repeated activities okay we are not
having unique activities uh in buildings
if you are having 20 floors when when
it's to typical floors even quantity
also will be same okay uh there we have
to identify which floor this activity
belongs to okay so we have to identify
that identification we can do based on
activity ID so here so this all
activities are preconstruction
activities it is under preconstruction
okay now I'm seeing the heading it is
okay but when I
copy pasted this to excel and I'm
sharing to someone and they are doing
the filter okay at that time they will
get confused even we will get confused
okay that is why this ID is important So
uh the ID should be unique and it should
be identifiable also. Okay. So here I'm
just giving an example the way uh when I
am working as a planner. This is the way
I used to follow. This is what my boss's
artial time also taught me. Okay. I will
just show this. Okay. You just select
this activity. Select all activity.
Okay. To select all activities. Right
click. Go to renumber activity ids.
Okay. There you will have a three
options. The first option if you give
all activity will be just 10 10 uh
numbers different that is already here.
See 8,000 8,10 8, 20, and 30. This is
what by default this method is selected.
But I don't want that one. I want to
give numbering auto number. So I have I
can I have to give some prefix and some
suffix. Prefix in uh prefix in letters,
suffix in numericals. Okay. The last two
value is for unique identity. So I will
give you examp when I'm giving example
you will have a better understanding of
this. Okay. See in in my organization if
I'm having number of project first I
have to identify which project this
activity belongs to. Okay. See your
company is having four or five projects.
In main office one guy sitting combining
all the projects and he doing some
reporting works. Okay. On that time he
need to identify which project it
belongs to. So first we have to uh
isolate based on project. Okay my
project name here what I have given
north site utility tunnel set for
education city. Okay. So north site.
So I I'm starting my activity ID is
north site. Then in north site uh
utility tunnels this is belongs to
preconstruction. So I'm giving
preconstruction one identity after that
1,000 number then incremental value
1,000. If I'm clicking okay now you see
a a person seeing this if you have this
unique uh coding method in all of the
project it will be very useful. See
north site preconstruction. So if I'm
seeing receive input drawings okay uh
which project it belongs to okay north
side utility after seeing this I can and
where it is preconstruction
it's a pre-construction activity like
that I can identify right so that is how
you have to give uh this uh activity
numbering okay uh this is very simple
one actually for pre-construction when
I'm doing for engineering um we will
have better understanding let's create
some activities for

am not able to identify which uh uh
where it belongs to it's a submission or
approval. I don't know that right. So
that is why we need this unique

let's give 3 days. Okay. So this is what
this details you will collect from your
engineering register or tracker. Okay.
So I have given three. Now select all
right click fill down. So all become 3
days. Okay. This is how you have to uh
feed your
uh this is a shortcut to feed your
duration. If it is a similar duration,
you can just right click and do the fill
down after selecting everything. Okay,
so this is how uh your activity
numbering works and uh uh description
it's not that big deal and the duration.

there are uh three type of activities we

dependent activity. Remaining 1% we use
this start milestone, finish milestone
just for reference. Okay, it is always a
task dependent activity or
it's it can be a milestone activity,
start milestone or finish milestone.

Okay. Uh if you come to details page,
this details is here. Okay. Uh it may be
something like that. But you have to
select this first one. If you keep your

So these are all activity types. There
are more than that three uh but most of
the time we will use task step and
finish milestone and start milestone.
Others I will just explain but uh you
will not use it uh most of the time. Okay.
Okay. What is task dependent? First let
me explain task dependent. the all
activities which is having any effort uh
like any physical work or any
documentation or any this
pre-construction activity this all will
become as uh task dependent okay it is a
task we have to complete okay so what is
the milestone activity start milestone
and finish milestone this is like uh
these activities are like indicators
okay uh see I will give you an example
here we have an activity contract sign
off. There is no task involved in
contract sign off. We are not going to
do anything. It it it will be signed
somewhere else. We will just receive the documents.
So I can consider this as a
start milestone because it's just
started. It's just starting uh there is
no finish. It's not like we will uh
after signing the contract we always
daily sign something. Nothing like that.
Okay. So we can consider it as a start
milestone. When you are given a start
milestone or finish milestone, you will
see a diamond symbol here instead of
bars because bars means it is having
duration. We have to do something. This
is one day duration, 7 day duration, we
have to do do something. But when it
comes to this uh milestone this diamond,
automatically your activity will become
zero days because it is an indicator
right. uh let's say you are an MEP
contractor okay you are receiving
clearance from for work site clearance
or site posession from civil team uh
that is another contractor okay so you
are having one activity site posession
from civil contractor okay
do you need to do anything in that
activity no it is a milestone it is a
start milestone right so on that time
also you have to give start milestone Okay,
Okay,
finish milestone is something you are finishing.
finishing.
So you want to indicate that let's say
zone one. Okay, last activity I will
give completion of zone one. I can give
one activity completion of zone one. So
completion of zone one other activities
are progressing then maybe civil,
mechanical, electrical works that will
be ongoing. Okay. But this is just
indicator. I will link all activities to
just this one indicator. But this is a
finished milestone activity. Okay. So on
that cases when after handing over also
project closer that is a finish
milestone. Okay. Project start that is a
start milestone. So only for this area
it it it will not be more than five
activities for mean in some cases maybe
Okay. this milestone activities I'm
talking rest all you will have task
dependent by default you will give task
dependent for all activities okay so
this three we will use and there is some
other also level of effort
level of effort is uh you will have one
activity but you will not work in that
activity it can be done by some others
let's say um uh same example MEP you are
MEP contractor okay you are doing a fire
pipe for installation on the roof. Fire
sprinkler works we have to do right. So
you are doing fire sprinkler works.
Okay. After that you can do the
sprinkler piping works but you cannot
install the sprinkler. Okay. To install
the sprinkler fall ceiling should be
completed. Okay. In ceiling maybe you
would have seen in the malls or
hospitals or any buildings or commercial
buildings you can see that uh if you see
sprinkler it is closed. You cannot see
the pipe. You can just see the
sprinklers. It will be hanging outside.
Okay. So, fall ceiling is not part of
that uh fire fire pipe contractor scope.
Okay. So, they will do the piping first.
Then civil team they will do the fall
sealing then again uh this fire team
fire piping team will come and they will
just install the sprinklers. So they
have a dependency with the civil team
because they are the one doing that uh
activity in between. Okay. So I I am
that firepipe contractor. How I will
monitor this project? I will I will have
this uh fire piping on the roof. Okay.
In ceiling. After that there is a fall
ceiling which is not my activity and I
have my sprinkler installation. Where
will I link my sprinkler installation?
to the fire pipe that will give an uh
bad monitoring. Okay. After right after
installing fire pipe, I cannot install
sprinkler. I cannot have activity like
that. In between there is an activity is
there. Okay. So, what I will do? I will
add one activity fall ceiling. Okay. So,
but that activity I will make it as a
level of effort.
So, it is a kind of dummy activities.
Okay. So dummy activities are this level
of effort activities. Uh but uh if you
are mentioned with the contract we have
to use this this this activities as a
level of effort you can use this uh
future otherwise uh don't use it. Okay,
just to keep milestones and uh task
dependent. Okay. Now, um
WB summary you already know uh this is
what this drawing summation is WB
summary. So if you click on activity and
you if you want to make it as a summary,
you can just make it using that one.
Resource dependent is uh
if there is an activity all activities
are resource dependent for us. But if
you just want to highlight this activity
is completely resource dependent, you
can use this one. This also it's not
usable. Okay. Uh so the point here is
you will use finish milestone, start
milestone, task dependent. Okay. So here
I have changed it to task milestone.
Kickoff meeting uh it is a I it's not a
start milestone. I cannot tell task
milestone. It can be one day one day
task. So let it be with the task
department others are task dependent.
Nothing I can change it to milestone. So
so that is what activity type is. And uh
the other other things also let's see
duration type. Okay. Duration type.
This is 100%age of the time we have to
use fixed duration and units. By default
it is also fixed duration and units.
Okay, if you just have fixed units or
fixed units per time or fixed duration
units per time, it will not give a
proper duration and all. It will it will
change to decimals sometimes. And also
why we need to use fixed duration and
units is see
if I'm giving units. Okay. In in in a
EPC project, I will load a resource in
construction part. All the labels,
carpenter, welder, fitter, ste uh all
this all these resources I will use in
construction part. Will I use that same
resource in procurement part? No, I will
not use it. Maybe in commissioning I
will use. Okay. In drawings, can I use
that same resources? No, I cannot use. I
can use only uh indirect labors, not
direct labors. Okay, there is a
difference difference difference between
indirect labors and direct labors.
Direct labor means the persons who is
doing the physical work at site. Okay,
indirect labors are the supervisor,
foreman, surveyor, engineer, manager.
These are all indirect labors. So here I
have work for indirect labors, not
direct labors. And here I I again it's a
mixed it's indirect labor for two
activity, direct labors for sorry direct
labor for two activity, indirect labors
for some others.
So I have different different units and also
also
I I I will measure this activities by
numbers civil layout maybe if two
layouts are there one layout completed
50%age I will feed as completed two
layouts completed 100 100%age I will
feed right and procurement if it is a PO
issued completed PO not issued not
completed 100% are zero okay in
construction it depends on the activity
earth work it's in cubic meter when I'm
excavating it's in cubic meter tunneling
uh it may be in meters okay services
also numbers are meter something so if
you see each activities they're having
unique uh unique unit so I should if I'm
measuring all the project at once okay
I'm having overall project summary
percentage see I want to see north side
utility tunnel how much percentage it
completed so if I'm having each units
are different different I cannot have a accurate
accurate
percentage completion summary
percentage. So that is why what is the
common thing for all the activities if
you see that is duration
right all the activities are having
duration duration is common for all
activities it will not change but units
will change here are different units
here different units right so that is
why you always should have fixed
duration and units in an EPC project
okay um others you will not use use it
but uh fixed units If you are having
common units for all the resources, all
the activities, you can use fixed units,
but that is also not recommended.
Duration is the right thing to do. Okay.
Percentage completion also the same
thing what I said. Okay. Duration is the
common unit. We can measure the
percentage complete uh properly. If I'm
having physical percentage completion, I
have physical works in construction
part. I don't have physical loads in
engineering part or uh procurement part.
So it will not give right and units also
like I mentioned units are having
different different thing here it is a
numbers one activity it can be meters
one activity it is square meters one
activity it can be cubic m so that will
also not work. So percentage complete
type better keep it to duration. Okay.

So these are all the things only the uh
just for explanation. Okay. Otherwise
you can uh just follow what whatever is
default here you can just follow that
only thing you have to do is this uh if
it is a milestone you will just make it
as a milestone only that thing you have

you created the calendar what will happen?

uh sometimes we will we will create the
project first and uh we will forget to
create the calendar first. So we will
make a project then we will create

having activity ID, activity name,

having ABC calendar, others having CMDA.
Again the same like a duration, select
all, right click, do the fill down, all
activities will be changed to ABC
calendar. So this is how you have to

If you already created calendar right
before the project installation, no need
to worry about this thing. Otherwise,
you have to change it manually like I did.
