hello welcome to this ice software
training course I software is used by
the trust to view and request test
results in this course we will show you
how to search for a patient show you how
to find pathology and imaging reports
for patients and show you how to view clinical
clinical
letters most computers in the trust
already have a desktop shortcut if there
isn't one on the computer you're working
on just go down to the search box in the
left hand
corner and type ice and a number of
options pop up I'm using ice desktop
train today you need to log into ice desktop
desktop
live when you get to the login page in
the Blue menu bar on the left hand side
button input your username and
password when you've successfully
completed this course we will issue you
with a username and
password the first time you log in you
will be asked to change your
password if this message appears asking
you to select the location use the drop-
down box to select the your current location
location
this is the ice desktop page on the left
hand side is the Blue menu bar within
that are a number of tabs which we'll
look at
shortly across the top of the screen is
a yellow search bar which will come back
to in a minute and below that are a
couple of tabs one's a tabed for your
favorites in this case it says favorites
for student one when you're logged in
it'll say favorites for your login name
and next to that is a w list and if I
click on the W list tab we've got a list
of patients currently on ashover W in
this case but you can change that
box okay let's search for a patient
please do not search for your family
friends or your own results this is
against trust policy and a breach of the
data protection
act within this software we can search
by NHS number
patient name Hospital number date of
birth and there is also an advanced
search facility which is hiding behind
this little piece of blue text so if I
click on that you can see there is
further demographic information you can
item please use patient specific data
when searching preferably hospital or NHS
NHS
number most of our Hospital numbers
start with a
G not all our Hospital numbers are G
some may have a number four at the
beginning so I put in my test patient Hospital
search and we get my test patient
details appear to select the patient
click once and it turns
blue and then a summary page appears
showing previous requests for this
patient uh the patient details as you
can see are still shown across the top
band we'll now have a look at how to
view patient test
results if you go into the Blue menu bar
and click on the results
Tab and then click on view patient
results double check the patient
demographic information is correct to
the top of the
page and then we've got this
multicolored screen in front of us each
of these colors has a different meaning
the blue lines are Imaging requests the
green lines are blue sciences and pathology
pathology
requests the purple lines are
microbiology and a color that's not
shown on this screen is yellow which is
results if we go to this grid from left
to right in the left T column there are
some red dots these indicate that the
results have come
back U outside the normal range so the
BR report contains abnormal
results the next column along has a
notepad and some of the lines this
indicates that somebody has viewed the
report and added some comments on a um
software the next column along has a
green tick on every single line
there can be three different symbols in
this column the green tick indicates
that the report has been
seen a Red Cross indicates that the
report has not yet been viewed and
occasionally there's a blue circular
symbol with an arrowhead which indicates
that the report is ongoing for some
reason next colum along has a filing
cabinet at the top and some of the lines
is S1 S1 in this case stands for student
one that's me uh it would obviously have
your initials in it if you'd filed a
report I will come back to filing report
shortly the next column the status
column is how the lab reports on infectious
infectious
diseases and the investigation column
has a abbreviated summary of which tests
were carried
out everything from that point to the
right is fairly
self-explanatory they requesting
clinician's name the location of the
patient sample number date it was
collected when it was received by the
lab and when they actually
reported you can filter this
view you can filter it by spe different
specialities or requesting
Clin um all you would do if you wanted
to filter the view is click on The View
you wanted say General pathology and
if I go into one of these reports and we
can have a a little look in um what's
recorded in there in this case it's an Imaging
Imaging
request there isn't a great deal to see
in this page that's because all our
images are stored on the mrad software
they're not stored within ice ice is
just basically a digital record that
request was made in this case for a chest
chest
x-ray so we'll go back to
list it go up to the gray back button
press that once and we get this little
warning pop up this function should only
be used on the instruction of the
clinician responsible for care of the
patient if that description does not fit
you always click do not
file the reason for this
is if you were to file this report the
clinician responsible for the patient
care could come along see that it's been
filed it would have your initials on
it uh but may assume there's no further
action required when in actual fact
there may be uh further investigation
necessary we'll now have a look at a pathology
report select one from the list click
once and it opens up a larger
report if I start at the bottom of the
page this little piece of text at the
bottom is quite important some sometimes
these reports go over a number of pages
and it's easy to assume that the
information you have on the screen is
all that's
available please always scroll down and
make sure you see that little piece of
text to make sure you've read right to
report in the left hand column you've
got details of what the actual test
was the next column along has got the
test results any abnormal test results
will be highlighted with red text they
also have a little red asteris next to
them the purpose of that is if you print
this report out on a black and white
printer it's not immediately apparent
that these abnormal results are outside
the normal range so they put a little
asteris next to it to draw your
attention to it next column along has
the units of measurement and finally in
the right hand column are the normal
range figures for these particular
tests the small blocks of text in
between some of the lines are notes that
have been added by the lab regarding how
the test was carried out or a change to
procedure all the highlighted pieces of
text you can click on and we'll do that
second right at the very top you've got
details of the actual sample itself and
in the very small text the reason for the
request okay I mentioned you can click
on this bold text and for an example if
I click on total
protein it opens up a little mini report
for us to see so you can see previous
investigations for total
protein there's a useful feature hiding
this you can obviously print this
out there's a graphical display of this
information so if I click the graph
button we can see the previous investigations
investigations
and everything outside the normal range
the plot points will appear outside the
green shaded area so if they're inside
the green shaded area and you're
monitoring a patient it's within our
normal range if it's outside that then
concern instead of going back to this
list on the left and select another
item we can open the graphical display
up again and select in between the
individual items shown so for example we
could change to calcium and you can see
that everything's within the green shaded
area I'll close these
down up near the top of the page in the
white box it says this report is linked
to other reports and it's a piece of
blue text and any blue text within a
report you can click on it because
there's information available behind it
it when I open it up it's a mini
report basically of the same format of
the report that's in the background and
there's a further link report uh behind
text I mentioned on the multicolored
screen in one of The Columns of a
notepad and Pen which was a opportunity
for a person viewing the report to be
able to add notes these are the notes
here if you wish to add a note about the
report you're viewing you click on the
little notepad
symbol and click
add type in the text you want to add and
list right up at the top of the screen
there are some gray tabs one of them is
file report and mentioned about filing
report and the fact you shouldn't file
the report unless you're the clinician
responsible for the patient
care the next tab along does exactly the
same thing it files this report and
moves you to the next
report the bike button will take us back one
one
step there's a cumulative tab which I'll
come back to
shortly we can print this report out on
your local
printer there's an audit Trail facility
that you can click on on and see who's
actually viewed this report it's quite a
useful feature and lastly there's an a
tab called icail This is not widely used
within our trust um it's mainly used by
a number of Consultants I believe but as
I say it's not a feature that's widely
used so if I finish viewing this report
I click the back
button I'll get the warning about filing the
the
report the descript description doesn't
apply to me so I click do not
list okay let's now have a look at cumulative
cumulative
reports if you go in the Blue menu bar
and click on the tab cumulative
reports it takes a few seconds for the
screen to load because there's quite a
display the actual IND visual test items
are all down the left hand column the
normal range for that test is in the
First Column units have measure in the
next column and then we have six Columns
of test
results sorted by
date as in the
previous uh screen where we could look
at individual test items we can do
exactly the same on this so we again we
could click on total protein and view
wished if the range shown on the
screen doesn't extend far enough to get
you the information you need you can
advance or um go back using these little
arrows at the top of the
screen the single Arrow takes the
display and the results one step
backwards it just take a few seconds and
the Double Arrow shows you the previous
case if you want to go further back in
time it can be quite a longwinded
process using the arrows so you can
click on the calender symbol and pick a
spe specific date to go and view test
results from that
date once again you can print all this
once a p patient has been discharged on
the GAC system a discharge letter and
prescription is generated and put into
ice we can have a look at an example of that
that
now if you go into the Blue menu bar and
click on clinical
letters and then view by patient we get
letters any letters that are available
to view have a little envelope symbol
next to them
I can show you an example of a discharge
letter by clicking on the envelope and
letter unfortunately we can't resize the
viewing pane in this part of the
software so we have to do a little bit of
of
scrolling uh we've got details of the
patient so their demographic information
admission discharge letter notes any
changes to medication current problems co-morbidities
co-morbidities
any medication prescribed on discharge
and right down at the very bottom
details of the patient's
GP and there's also an audit log for
this uh part of the software and if you
wish you can print this letter
off okay if I go back to results because
that's all I need to show you in clinical
clinical letters
during this ice training course we've gone
gone
through showing you how to search for a
patient show you how to find pathology
and imaging reports for
patients and lastly showing you how to
view clinical
letters in this module I will show you
how to raise a request for a
patient in the Blue menu bar there's a
tab Mark requesting click on that and
request now is a good time to double
check that you've got the correct
patient record displayed at the top of the
the
screen all the Imaging requests are in
behind the tabs across the top plain
film CT and MRI Etc and down the left
hand side we've got blood Sciences
hystology as I move my pointer over some
of these items
uh printed in green you can see that a
yellow bar appears across the top of the
screen with additional information from
the lab giving instructions about the
minimum standard required for the
sample in this case I'll select a full
blood count just as it's a demonstration
so I click on the
box I a notification asking if I want to
view previous
results so I click no
if I don't wish to add any more tests to
this particular
sample go down to the bottom left side
next to the Blue menu bar there's a
continue with request
button click once on
that and then we need to populate some
more details in
here the software automatically adds
your login name you must include a
contact number so the lab can contact
you add the name of the consultant under
who you're register
requesting uh you can either use the drop-down
drop-down
box uh there's quite a lot of names
listed there or there's a search
dots add the patient
location and in global clinical details
possible I can get away with test test
unfortunately you can't
can't for blood tests the prior to is
always kept as routine for Imaging they
can um the priority can be changed to
Urgent or cancer
Target if the request is
urgent and you need an answer very
quickly please add the word urgent to
the end of your text here and it's
always worthwhile giving the lab a call
and just letting them know you're
sending urgent request through
everything for& emu hdu and itu are
automatically treated as
urgent category always stays as
NHS the results can be copied to the
patient's GP once again there's a drop-
down box you can scroll through and
there's also the same search facility
and if you wished you could copy this
information to a specific person in a
different location within the trust
as I mentioned because this is a um a
pathology request I only have routine as an
an
option final thing sample collection
options we can print the request now and
choose sample date from the calendar on
the right we can print the request now
and Sample produced later if we don't
have a date or we can print the request
now obviously if there's a risk of
infection from say MRSA or
coid please indicate this on this using
these little selection buttons so that
lb are
aware once you're happy with all that
information go down to the bottom right
request you can print this request out
using your local
printer and then we can view request
request by patient or we can view pending
requests you can see there's the full
blood count that we've just requested
patient if we click on the test we've
just requested you can edit the request
if you wish can cancel it or reprint
etc okay that's all I need to show you
