0:05 be diving into something that's going to
0:08 change the way you work. Microsoft 365 Copilot.
0:11 Copilot.
0:12 Now, I know what you're thinking.
0:15 Another AI tool. How is this different?
0:17 Well, imagine having a superpowered
0:20 assistant built right into Word, Excel,
0:21 PowerPoint, and all your favorite
0:24 Microsoft apps. An assistant that can
0:26 write, design, analyze, even generate
0:28 images for you, all while keeping your
0:31 data secure. That's exactly what Copilot
0:33 is. And in this beginner's guide, I'm
0:34 going to show you step by step how to
0:37 unlock its incredible potential to save
0:39 you time and boost your productivity.
0:42 Let's get started. So, who exactly can
0:43 get their hands on this game-changing
0:45 technology? The great news is that
0:48 Microsoft 365 Copilot is available to
0:50 all commercial, education, and consumer
0:54 subscribers of Microsoft 365. That means
0:56 if you have a Microsoft 365
0:58 subscription, whether it's for your
0:59 business, your school, or even your
1:01 personal use, you'll have access to
1:04 these core co-pilot features that we're
1:05 about to explore. There's no extra
1:08 upsell required for this integrated chat
1:10 experience within your apps, which is
1:12 fantastic news for everyone. First of
1:15 all, where do you access Microsoft 365
1:18 Copilot? Well, this is a rebranding from
1:19 where we used to just log in at
1:21 office.com. Actually, you would still
1:23 log in at office.com. and I'll put the
1:25 link down below in the description. Then
1:27 you can just go ahead get signed in with
1:30 your account. Now, when we get logged
1:31 in, the first thing you're probably
1:33 going to notice is there is a complete
1:36 redesign. And the first thing that I
1:37 thought of when I logged in, I was
1:39 wondering where are all my apps like
1:41 Microsoft Word, Microsoft Excel,
1:42 PowerPoint, and all of them. Well,
1:44 that's what I want to show you first.
1:46 I'm going to go down to apps right here
1:48 and click on it. And you're going to see
1:52 access to all of them right here. Now,
1:54 if you want to be using any of these
1:56 quickly, what we can do, if we go to
1:58 Microsoft Word and go to more options,
2:01 if we hit pin, notice we have quick
2:04 access right here. If I go to Excel and
2:07 hit pin, we can add that. We can take
2:09 these away just by unpinning them. Now,
2:12 these will quickly get you to the online
2:15 version of Microsoft Word or Microsoft
2:17 Excel, but a lot of people like working
2:20 on the desktop app. If we're back in
2:22 co-pilot here in the top right hand
2:24 corner, if you click down under install
2:26 apps, you'll notice this is where you go
2:28 ahead and install them on your computer.
2:32 Here we also can install Copilot desktop
2:34 app on your computer. And I and if you
2:36 want to get this on your mobile devices,
2:38 whether it be Android or iOS, just click
2:40 on this and you're going to get a QR
2:43 code that you can scan and quickly get
2:46 Copilot on your devices. Throughout the
2:48 rest of this tutorial, I'll be going
2:50 through the features of this sidebar,
2:52 including the search, the chat,
2:55 exploring AI agents, creating your own
2:58 AI agent, looking at pages and what you
3:00 can do with them, and creating amazing
3:04 images and graphics inside M365 Copilot.
3:06 I want to go to chat next and explain
3:08 how this can be a powerful feature to
3:11 get ahead on your work. If you've used
3:13 chat GPT before, you're going to find
3:16 this is very familiar then to you.
3:18 Copilot's intelligence is deeply
3:20 connected to OpenAI's technology.
3:22 Microsoft has invested billions of
3:26 dollars into OpenAI and licensed GPT4.
3:29 And you can see we can even try GPT5 up
3:31 here. This powers copilot language
3:33 understanding and generation
3:35 capabilities. I want to point out this
3:37 in the top right hand corner, the
3:39 enterprise data protection. You can feel
3:43 secure when using M365 Copilot that none
3:45 of your data or your prompting or any of
3:47 the information is being used to train
3:49 large language models. So you can feel
3:52 secure when using this. If we move over
3:54 here and I mentioned chat GPD5, just
3:56 simply click on this and you're going to
3:58 be using the most current model
4:01 available. If we move down, you're going
4:03 to see that they have some suggested
4:06 prompts here. If I go to see more and I
4:08 just I'll move down, you can see all the
4:11 different ways that you can get ideas
4:13 that they already have for you. And I'm
4:15 going to come back and just demo a few
4:17 of these. But I want to point out the
4:19 prompt gallery as well because if you
4:22 click on this and open it up, you can
4:26 start going through the filters to see
4:27 what the specific prompt that they
4:29 already have ready for you. This can
4:32 save you a lot of time because it starts
4:34 with a prompt and then you just have to
4:36 put in your own information. So, this is
4:39 a great way to save some time when uh
4:42 using these pre-made suggested prompts.
4:44 Let's move back up here and I'm just
4:46 going to click on this one right here.
4:48 List key points from file. Well, what
4:50 files are they going to talk about? So
4:53 as soon as I click on this, notice if we
4:56 ever put in the forward slash, this will
5:00 give access to the files in Microsoft
5:03 one drive that you have. I can upload
5:05 files as well. So if I was going to go
5:07 ahead and if I had something on my
5:10 computer, I can go and add work content.
5:12 I can upload images and files and I can
5:14 attach from the cloud. So you can do it
5:16 in different ways, but just with this
5:18 simple forward slash, if I go back and I
5:20 hit forward slash again, notice that
5:23 it's there. So if I move down to let's
5:26 say this document right here, it's going
5:29 to be pulling from that information. So
5:31 if I send this away, you're going to see
5:34 that it's focused on that document that
5:37 was uh that was being connected in my
5:40 one drive that pulled up. And if I click
5:42 on sources, you're going to see that it
5:44 opens up right here. If you want to go
5:46 and start a new prompt, I can just go
5:48 back to chat. It's going to be bring me
5:51 back to this homepage. Now, let's say I
5:54 want to just ask it to do through voice.
5:56 I can use it right here. So, start
5:59 dictation. I'm going to say I will keep
6:02 this easy. What are the key points from
6:04 this PowerPoint?
6:07 I'm going to stop the dictation and I'm
6:09 just going to go forward slash. And I
6:11 want to point out when you're searching
6:14 for something. So if I was looking since
6:16 I'm looking for a dog's PowerPoint,
6:18 notice as I start typing, it's giving me
6:20 all the information. So you can kind of
6:23 do a search through this. So if I go
6:25 ahead and click on this, it's going to
6:27 look through the PowerPoint and find the
6:31 key points from it. So notice now it's
6:32 even suggesting some things that it
6:35 could do. I could go ahead and ask it to
6:37 do something, but maybe I do want to
6:39 turn it into a blog post for all these
6:42 features here. So, let's click on it and
6:44 see what happens. So, now I have this
6:46 blog post. And remember, this just
6:49 started as a PowerPoint and about 20 30
6:52 seconds later, I have a blog post.
6:54 Another way we can start a new chat is
6:56 just by clicking up top here. And you
6:59 can create images. So, if I go ahead and
7:01 ask it to create an image of a friendly
7:02 golden retriever sitting on a green
7:04 grass in in a bright daylight looking at
7:06 the camera with happy expression. Let's
7:09 go ahead and send this. And just like
7:11 that, I have my image of my friendly
7:13 golden retriever. If I go ahead and
7:15 click on it, you'll see where you can
7:17 download it. You can say if this turned
7:19 out if you liked it or disliked it to
7:21 help when it's creating these images.
7:24 You can copy paste from here as well.
7:26 And you can see that the content
7:29 credentials is will say generated with
7:32 AI. If we close out of this, I want to
7:35 point out over here, these are all of
7:38 our conversations. So I can go back to
7:40 any of these. So if I was going back to
7:42 what are the key points, all of these
7:45 are going to be easily accessible. If I
7:48 go to the more, you'll see if I want to
7:51 rename this, I can go ahead rename it or
7:54 I can delete any of my conversations. I
7:56 can click on all conversations and this
7:58 will just show me a different way. I can
8:01 search for them up here or do some
8:04 filtering. Did you know Co-Pilot has
8:05 memory? And I'm going to show you how to
8:07 use this because this can save a lot of
8:10 time. Let's start by a simple prompt.
8:12 I'm going to say, I manage a small dog
8:14 spa called Poochaven Spa. They offer
8:17 grooming, doggy facials, and weekly pup
8:19 and polish events where owners and pets
8:21 get pampered. I'm just going to go ahead
8:25 and send this. Notice right away it says
8:28 memory updated and I can manage
8:29 memories. I'm going to come back to that
8:32 in a moment. But first of all, I want to
8:34 know what they know about me right now.
8:37 So, I'm going to go to start a new chat
8:39 and I'm just going to say create a short
8:41 email I could send to clients about a
8:44 new seasonal offer. 20% off dog facials.
8:46 I didn't tell them where what company
8:48 I'm from. But if I go ahead and send
8:52 this now, I'll move down. And look at
8:54 this. It pulled out the information of
8:56 Pooch Haven Spa because that's in the
8:59 memory. I think this memory usage is a
9:01 big part about being efficient with
9:04 Copilot. I'm going to go up to here and
9:06 to the settings and we're going to go to
9:09 personalization. Here was the memory. So
9:12 if I go to here, this is what the memory
9:14 I added through the prompt. I can delete
9:17 the memory as well, but I'm going to go
9:19 back here. I'm going to go give custom
9:22 instructions. So, I want to just kind of
9:24 have my responses already set up where I
9:26 don't have to put this into the prompt
9:28 each time. So, I'm going to give it a
9:30 bunch of information here. So, I'm going
9:33 to say this right through here. I'm the
9:34 manager of Pooch Haven Spa. Kind of
9:35 already knew that, but I'll add it
9:38 anyway. Cheerful dog grooming wellness
9:40 business that offers all these different
9:42 things. I love uh friendly, upbeat
9:45 communication with a touch of humor. And
9:46 I'm just going to scroll down and I kind
9:50 of gave it even uh different taglines as
9:52 examples that it could put in. So
9:54 there's a few different just kind of an
9:56 idea of how to write. So I'm going to go
9:58 ahead and save this. And then once it's
10:01 saved, I'm going to exit out and go to a
10:04 new chat to see how this changed things.
10:06 And I can see right away it's matching
10:10 the tone I asked. If I look here, the
10:12 possum guest, how it's doing the word
10:15 play here. I can see the love for their
10:17 job coming out through the text. It
10:19 feels very personalized through this
10:22 that I could go ahead and just update
10:24 where it has that information here. So
10:26 you can see if you get this information
10:28 in the memory, how much time it could
10:31 save you. And at any time you want to
10:33 add more to memory, just simply go and
10:35 ask it to. So in this case, we added a
10:37 mobile grooming band called P Express.
10:40 remember that. And as soon as I send
10:42 that off, you'll see that the memory is
10:44 updated and I can go manage those
10:47 memories at any time. Search in
10:50 Microsoft 365 copilot hasn't gotten more
10:52 powerful with the use of AI. Uh as soon
10:54 as you click in, you can quickly access
10:57 the apps files just like before or you
11:00 can do a search for any documents. But
11:03 what I like is uh going down here with
11:06 the recent files. They even have these
11:08 quick suggested prompts on the side. So
11:11 in case if we go to let's say this one,
11:14 the spa services, I could draft an
11:15 introduction. If I hit the plus three,
11:18 it even shows me more ideas on this. So
11:21 let's say let's go to summarize this.
11:24 And what it does at this point is it
11:26 brings me over to chat again. So it's
11:28 just a different way to get into the
11:30 documents just like I showed you before
11:32 when we used the forward slash and then
11:35 we could prompt it. The same thing's
11:36 happening. Now, it's going to be saved
11:38 in one of our conversations, and we
11:41 could go ahead and dig further down into
11:44 this. Now, at the bottom of any of these
11:45 prompts, you'll notice a few more
11:48 things. So, we could go and share the
11:51 response or open in Microsoft Word. You
11:54 can also even add it to pages. I haven't
11:56 set any pages up yet, so I'm going to go
12:00 do that now. So, pages are right here.
12:03 So, let's go to all pages
12:05 and we're going to go because we don't
12:06 have any pages yet. We're going to go
12:09 right here and create a new page. Let's
12:12 go ahead and just give it a name here.
12:14 You're probably wondering what are
12:16 Copilot pages. Well, they're living
12:18 documents that Copilot creates or uses
12:20 to organize information, summaries, and
12:23 ideas for your chats or your agents. You
12:25 know, think of them as an interactive
12:27 workspace, kind of a mix between
12:29 Microsoft Loop pages and OneNote pages
12:32 powered by AI. On any of these pages,
12:35 you can start typing just like normal
12:37 here. You can hit enter to start a new
12:39 line. If I put a forward slash at any
12:41 time, it gives me quick access to all
12:44 the things that I can make on this. Uh,
12:46 if it is going to be an action items,
12:47 maybe I want a checklist and I can just
12:50 go from there. But you can see all the
12:52 different things you can quickly add to
12:55 this. Now, what I want to do is go ahead
12:58 and add some other things from Copilot
12:59 that we've been working on. So, what I'm
13:01 going to do is just close out of this. I
13:04 did rename that action items up top. So,
13:06 if we hit close and we go back to the
13:09 summary from the last one we were at. If
13:13 I notice now, if I go to add to recent
13:16 pages, I only have the one page right in
13:17 here currently. So you could make more
13:21 pages and now all this information goes
13:24 to this. So on this now I could easily
13:27 share. So if I click share I can have a
13:30 page link uh right to this or I can
13:32 embed or provide access to this page
13:35 with other Microsoft 365 apps as well.
13:38 So it's how if you've ever used
13:41 Microsoft Loop before very similar to
13:43 how that works. I'll put a a link to my
13:44 loop video, and I'm going to have a
13:46 newer one of those come up as well. I
13:49 can also open this up in Microsoft Word.
13:51 Now, let's explore one of Copilot's most
13:54 powerful new features, agents. And
13:57 notice here we have explore agents and
14:00 we have create agent. I'll just click on
14:02 explore agent to start with. Now, if
14:04 you're wondering, well, what is an
14:06 agent? Think of an agent as your own
14:08 custom AI co-worker that you can design
14:11 to handle ongoing tasks or specialize in
14:13 a certain topic just like a teammate who
14:16 never forgets instructions. So they have
14:18 some already created for you that will
14:21 help you with complex task. Now if you
14:24 look at these, if I click on prompt
14:27 coach, you'll get an information what
14:29 this will do for you. So this will write
14:32 and improve your prompts and you'll see
14:34 where it works from with different ones
14:37 with across office teams and we can go
14:39 ahead and add this.
14:42 Now over on the side we have quick
14:45 access to this prompt coach. I could go
14:48 ahead and ask it just like before or
14:50 let's go with this one right here. Help
14:51 me generate a prompt to be used in
14:54 C-pilot. This is a great way to get
14:56 started using C-pilot is one of these
14:59 agents and helping you to understand how
15:02 to prompt. I just want to pop over to a
15:04 different account in mine. And in this
15:06 licensing, I actually have co-pilot
15:09 purchased uh as an add-on to this. And
15:12 you'll notice under agents, I have a few
15:14 more options. I have researcher and and
15:16 an analyst. So, if you don't have those
15:18 and if you're wondering where they are,
15:20 you do need to have the paid for version
15:23 of Copilot added on to that where you
15:25 get a few more options. You're going to
15:27 notice that you can create your own
15:30 agent and you can just describe what you
15:32 want and then you can go through and
15:34 configure it. You can give it specific
15:36 instructions, knowledge, and in a few
15:39 minutes you'll have this agent. I went
15:41 through in a different video and I'll
15:43 connect this here how I created pooch
15:46 pal and similar topic. We go through and
15:49 we add a website knowledge base and we
15:52 get this to start doing things for us.
15:54 So make sure you check out that video if
15:56 you want to learn more about creating an
15:58 agent and then I have it even going a
16:00 step further with using Microsoft
16:02 Copilot Studio to automate things. So
16:04 check that out. Here's something that is
16:07 overlooked inside Microsoft 365 Copilot
16:10 and that is create. You have the option
16:13 to create so many different things. So
16:14 I'm going to just close the side panel
16:17 now. Now like before we can create an
16:19 image just describe what we want and I
16:21 kind of did that just through the basic
16:23 prompting through chat. But if you look
16:26 through you can design infographics and
16:28 they give you different ones that you
16:30 can start with the prompt that they're
16:32 going to start with. You could create a
16:35 story. You could design a poster. And
16:38 they have the different prompts that you
16:40 can just change where it's blue here.
16:43 You can put what you want in there. So
16:45 they give you the part of the prompt and
16:47 it just makes it easy to adapt it. Look
16:50 at editing images. So if you want to
16:52 change the background, the color of an
16:55 image, do you want to erase an object?
16:56 Uh, look at all the different options
16:59 that you have here that you can do right
17:02 inside Microsoft Copilot. And then you
17:05 even have more here that you can start
17:08 presentations from. Create a banner or
17:10 even a form. Let's do a quick example
17:12 with create an image. And I'm just going
17:14 to go and look for a certain one. I can
17:17 change here. We can place a product on
17:18 the model, place a design on the
17:21 product, place a character in the scene.
17:23 Let's try this one here. So, I'm going
17:25 to start with this prompt.
17:27 And here is the prompt here. I'm not
17:29 going to make any changes, but this is
17:32 all editable here. I can also add
17:34 content style if I want. You'll notice
17:36 that we can do all the different style
17:37 of different ones here. If I click it
17:39 again, it closes. We can choose any
17:41 colors that we want. And if we want it
17:43 square, we can go from there. So, I want
17:45 to replace this. I'm going to go and
17:47 grab this picture of me. I don't know
17:49 how that will match, but we'll see.
17:51 We'll get an idea here. And I'm just
17:54 going to go ahead and click create. And
17:56 here I am in that image. I think they
17:58 did a pretty good job there. Maybe a few
18:00 more wrinkles than I wanted, but we can
18:03 still make changes to this. I could go
18:05 through, add to the prompt here, my
18:07 style, my colors, and I can make
18:10 updates. But again, how quickly you can
18:12 all do this in one place in Microsoft
18:15 365 Copilot. What I find really exciting
18:18 now is that I can access Copilot in my
18:21 Microsoft apps even without the paid for
18:24 version. So, in this account right here,
18:26 I don't have the paid for version. And
18:28 I'm going to go over to my Microsoft
18:30 Word, and I'm logged in as the same user
18:33 with the same licensing. Under the home
18:36 tab, if I look over to the right hand
18:39 side, I have Copilot here. And I want to
18:41 point out this first, open the
18:42 navigation panel because it's very
18:44 similar to what I was showing you in
18:47 Copilot. It's just built into these
18:49 different Microsoft apps. Now you can
18:51 see the conversations are all still here
18:53 that I was having with co-pilot before.
18:57 I even have my prompt coach here because
18:58 this is an agent I add and it's all part
19:02 of the same account. If I close this, if
19:04 I come back to here, if I want to open
19:07 something up, if I go forward slash,
19:09 you're going to see that I have access
19:12 to the same files that I had with the
19:14 normal one. So, if I was going to open
19:17 up this one right here, and I can ask a
19:20 question, and I'm going to say, give me
19:22 a list,
19:25 and it will analyze that document and
19:28 answer it here. Now, it doesn't put this
19:32 right into the document right away. I
19:34 actually have to go ahead and copy and
19:37 paste this over. So, if I go to the
19:39 bottom of this, you're going to notice
19:42 that I can do a few things. I can click
19:44 to add to doc here and it places it
19:47 right in here. I can copy the response
19:49 and then paste it. I can share the
19:51 prompt and copy with this response. And
19:53 I have a few more options even to read
19:55 aloud here. Let's test this out in
19:57 Microsoft Excel. Let's go open up some
19:59 data here. Here's some sales data. Let's
20:02 pop open C-pilot. Let's stretch out this
20:04 a little bit so we can see this a little
20:06 bit better. And we're going to ask it to
20:08 create two charts to summarize the data.
20:10 Let's see what happens.
20:12 All right, let's see what it gave us
20:13 here. And you can see it's already
20:16 prompting for some other uh ideas, but
20:19 we'll move down a little bit and let's
20:20 go ahead. We can do a few things here.
20:23 We can copy the preview. We have display
20:25 options. We can even download it as code
20:28 PNG. I'm just going to go ahead and
20:30 download it really quickly. And let's
20:32 bring it back as a picture. This was the
20:35 first one that was created. And that was
20:37 with just that simple prompt. Let's move
20:39 down here a little bit more because I
20:41 think they created another one right
20:45 here. We'll download this one and open
20:47 this one up. And you can see they
20:49 created this line chart. All that with
20:52 that simple prompt in PowerPoint. Let's
20:54 say we need another image added to this
20:56 slide here where I don't have anything.
20:58 Let's go over to Copilot here. You can
21:00 see some of the ideas. I think this one
21:02 right here. Create an image for this
21:04 slide. What's the image I want? I want
21:07 it to be this one right here. All right,
21:09 let's see what they created. And look at
21:11 what I was asking for. Rubber duckies,
21:13 happy expression, water droplets, and
21:15 here we go. There we have it. So, if I
21:18 go to insert, I can quickly add it to
21:21 that slide now. So, there you have it.
21:23 Your beginner's guide to getting started
21:25 with Microsoft 365 Copilot. We've seen
21:27 how you can use the main chat interface,
21:29 bring it directly into your apps like
21:32 Word and Excel to save time, and even
21:34 get creative with generating images. My
21:36 biggest piece of advice is to just jump
21:38 in and start experimenting. Ask it
21:40 questions and see how it can help you
21:42 with your documents, and you'll quickly
21:43 see how much time it can save you in
21:45 your daily workflow. Now, we just
