0:43 so to arrive at jira project management
0:45 simply head over to your browser and
0:47 type in Jer or click on the link in the
0:49 description below this video and that's
0:51 going to take you to this jir landing
0:53 page for those that don't know jira is
0:55 now designed for all types of projects
0:58 and teams it's not just an agile project
1:00 management tool you can dive into any
1:03 type of project jir allows for smooth
1:05 collaboration and communication between
1:07 departments teams and projects okay so
1:09 for those that currently do not have a
1:11 jir account simply navigate up to get
1:13 jira for free and for those that already
1:16 have a jir account you can skip the step
1:19 and I'll meet you inside jera now jira's
1:21 free plan allows for up to 10 users
1:23 which is sufficient enough for most
1:26 small teams a typical scrum team is
1:28 between five and nine people okay so go
1:30 ahead and add your work email or sign up
1:33 with these platforms down here I'm going
1:35 to add my work email and then sign up go
1:37 ahead locate and add your verification
1:39 code simply add your full name create a
1:41 password and then click on continue go
1:43 ahead and add your business or project
1:45 name and then click on continue here we
1:47 want to select the type of work that
1:49 represents what we do for the purpose of
1:50 today's tutorial we're going to focus on
1:52 agile project management and in
1:54 particular the methodology that we'll be
1:57 focusing on is the scrum framework so
1:59 let's click on software development
2:01 however as I mentioned earlier you can
2:03 now use jro to manage all your different
2:05 types of teams and projects come down
2:08 click on continue again like I mentioned
2:10 today we'll be focusing on scrum which
2:12 is a popular methodology for agile
2:15 project management simply select scrum
2:17 and start now and as soon as you arrive
2:19 inside jir you'll be asked to add your
2:22 project name and for my scrum project
2:24 I've added sheify website development so
2:26 go ahead add your scrum project then
2:28 come down and click on get started let's
2:30 go ahead and dismiss this quick start
2:32 and you can see we have our first
2:34 project up here if we navigate up to
2:36 projects we can simply come down and
2:38 create a new project okay so let's close
2:41 this now before we start adding epic
2:43 stories and tasks to our backlog let's
2:46 go ahead and add our team members here
2:48 we have the option to create a team or
2:50 simply invite people to jera let's go
2:52 ahead and invite our team members here
2:54 we can invite our teams by adding names
2:57 or emails or we can simply choose from a
2:59 platform to add our team members for now
3:02 now I'm going to Simply navigate up here
3:04 and add my teams emails then come down
3:06 to these access options I'm going to
3:09 deselect this option here site users to
3:11 invite other people and I'll also keep
3:14 this option selected then add five
3:16 people and as you can see emails have
3:18 been successfully sent to everyone we
3:21 invited and new users with a verified
3:23 email address can join without an invite
3:25 now if we navigate up to planning on the
3:26 left hand side you'll see these
3:29 different view types we have timeline
3:32 backlog board list and issues we can
3:34 also add an additional view down here
3:36 you can see the views that we currently
3:38 have enabled and you can also view more
3:41 views down here now under backlog this
3:44 is where we want to plan our Sprint now
3:45 for those that are beginners when it
3:48 comes to Agile project management and in
3:50 particular the scrum framework we need
3:53 to understand the structure of scrum
3:55 first we have our road map which is our
3:57 top level goals essentially what do you
3:59 want to achieve with this project and
4:01 and then our road map consists of a
4:04 backlog and this is a changing list of
4:07 work items to complete during a Sprint
4:09 and your most important item should be
4:11 at the top within your backlog you have
4:14 epics and epics are a large chunk of
4:16 work that are broken down into smaller
4:19 manageable chunks called stories and
4:22 stories are made up of tasks and these
4:24 tasks are used to break down stories
4:27 even further into manageable activities
4:29 and these tasks are typically completed
4:32 by by one person in your team in scrum
4:34 these tasks are delegated to your Dev
4:36 team and don't worry I'll dive deeper
4:38 into each of these scrum elements as we
4:41 walk through this tutorial okay so first
4:43 what we want to do is create and add
4:47 epics stories and tasks to our backlog
4:48 then following this we're going to
4:51 allocate those elements to our Sprints
4:53 and then when your team is ready to
4:55 engage in those action items you can
4:57 start the Sprint again we'll talk more
4:58 about this soon okay so what we're going
5:00 to do is navigate up to Epic and then
5:03 turn this on and then navigate down to
5:05 create epic and I'm going to call this
5:08 epic improve customer service okay so
5:09 I'm happy with that now we can either
5:11 add another epic here or we can navigate
5:14 up to create and then navigate down to
5:16 the issue type and then click on Epic
5:18 and this interface gives us more options
5:20 navigate down to summary and for the
5:22 purpose of this epic I want to add
5:25 increase product page conversions now
5:27 it's important to note that the product
5:29 owner is responsible for adding epics to
5:32 your road map next navigate down add a
5:34 description if you like for your team
5:35 and you can also leverage these
5:38 formatting options as well as Ai and in
5:39 this case I'm the product owner so I'm
5:41 going to select assigned to me if we
5:43 navigate down further we can add
5:46 specific labels a parent element start
5:48 date and end date I'm going to add the
5:51 1st of June through to the end of June
5:52 and I'm happy with that you can also
5:55 assign a reporter and add attachments
5:57 relevant to this epic then we have other
5:58 settings down here which we can come
6:00 back to later I'm going to navigate down
6:02 and click on create if you want to
6:04 create another issue another scrum
6:06 element select this option I'm just
6:08 going to select create now if we
6:10 navigate up here you can see we have two
6:12 epics if I click on this drop down you
6:14 can see basic information here and you
6:16 can also click on view all details and
6:18 that's going to generate more details
6:19 over on the right hand side for your
6:21 epic for your issue now if you're
6:23 unfamiliar with what issues are inside
6:26 jera essentially these are just work
6:28 items and again a work item could be
6:30 anything it could be an epic a story or
6:32 a task again if we navigate over to
6:34 improve customer service this epic we
6:37 can add additional details okay so let's
6:39 navigate up to the top and close this
6:40 now let's come down to our project
6:43 backlog and start adding tasks to our
6:45 backlog come down and click on create
6:47 issue select the type of issue that you
6:49 want to create at the moment we have
6:51 story selected I'm happy with that and
6:53 remember our epics have broken down into
6:55 stories I'm going to add provide live
6:58 chat as a feature and this story is
7:00 going to be part of the improve customer
7:02 service epic I'm going to hit enter and
7:04 for this story I'm going to add create a
7:07 video based knowledge base and I'm going
7:09 to add one more story create a
7:10 reviewbased system for collecting and
7:13 showing reviews now with each of these
7:15 stories for example provide live chat as
7:17 a feature if I click here I'm going to
7:19 navigate up to add epic and add this
7:22 story to this improve customer service
7:25 scrum and I'm going to do the same with
7:27 this story navigate up to add epic and
7:29 click on the Epic you want to add this
7:31 story to to then the third epic which I
7:33 want to add this story to is this epic
7:36 here increase product page conversions
7:39 so remember these stories here represent
7:41 work that needs to be completed inside
7:44 our epics let's minimize this and let's
7:46 actually change the color for this epic
7:48 I'm going to navigate up here and change
7:51 this color to green and close this epic
7:52 again let's navigate down to this first
7:55 story and expand these details and then
7:58 add further details like descriptions we
8:01 can also connect Confluence pages and in
8:03 J these are essentially Teamworks bace
8:05 Pages for collaboration and information
8:07 sharing if we navigate down we can
8:10 assign the story add labels change the
8:13 parent add the story to a Sprint and add
8:14 story points and story points
8:16 essentially help measure the effort
8:19 required to complete specific work okay
8:21 so let's navigate up here close this and
8:24 then navigate down to create issue and
8:25 this time I'm going to select here and
8:28 click on task and this task is going to
8:31 be called add what chat to our website
8:32 and the next task I want to add is
8:35 similar add Facebook messenger chat to
8:37 our website now with each of these
8:39 issues or work items what we can do is
8:41 navigate over to the right hand side and
8:43 click these three dots and we can move
8:45 to and we can move these items to our
8:47 scrum Sprint one as you can see we have
8:49 our Sprint up here which currently has
8:52 zero issues we can move this item to top
8:55 of backlog and the most important item
8:57 should be at the top of your backlog and
8:58 then we have these other options down
9:00 here we can copy copy the issue link as
9:02 well as copy issue key and these other
9:04 options down here we can assign the
9:07 issue and add a parent however I'm going
9:09 to click out of here and navigate up to
9:11 this first task and add an epic which is
9:13 improve customer service and again for
9:16 this task improve customer service now
9:18 what we want to do is link this story to
9:21 our two tasks here because with this
9:23 story what we want to do is provide live
9:25 chat as a feature on our website and to
9:27 do this our Dev team needs to complete
9:29 these two tasks add WhatsApp chat to our
9:32 website and add Facebook messenger chat
9:34 to our website so what we would do is
9:36 simply click on the story then navigate
9:39 up to link and then click on link issue
9:41 then make sure is block by then come
9:43 down and then search for the issue I'm
9:45 going to select this issue and then this
9:47 issue here and then click on link now
9:49 you can see that these two tasks are
9:52 connected to this story and this story
9:54 is linked to our epic improve customer
9:56 service okay so let's navigate over here
9:58 close this and essentially what you want
10:00 to do is take the time to create your
10:03 issues your work items and add all of
10:05 your tasks that are associated to your
10:07 stories okay so if we navigate up here
10:09 you can see that this work item this
10:11 story is the most important thing that
10:13 we need to get completed what I can do
10:15 is navigate over to the right hand side
10:17 click here then select move and then
10:20 move this work item to scrum Sprint one
10:22 I'm going to minimize this so we can see
10:24 these other options up here again
10:26 remember you can create any items up
10:28 here let's close this and then navigate
10:32 down to these two tasks and select them
10:33 and then navigate over to these three
10:36 dots and click on move to scrum Sprint
10:38 one and as you can see just like that
10:40 we've moved our two tasks as well as our
10:43 story into our first Sprint now let's
10:45 navigate over to these three dots and
10:48 then click on edit Sprint now a Sprint
10:50 is a specific time frame to complete a
10:52 set amount of work typically the time
10:55 period is 1 month or less for now I'm
10:57 happy with this Sprint name then under
10:59 duration I'm happy with custom I'm I'm
11:01 going to select the start date which is
11:03 going to be Monday the 3rd of June I can
11:06 add a time here if I like and in the end
11:08 date I'm going to navate across and then
11:10 click on the 1st of July then you can
11:12 add the Sprint goal in our case this is
11:14 all about improving our customers
11:16 experience on our website then navigate
11:19 down to update okay so you can see we
11:21 have a backlog of work items and we have
11:23 our Sprint that starts next month I'm
11:25 going to unselect these again when
11:27 you're ready to start the Sprint simply
11:29 click on start Sprint however you want
11:31 to make sure that all the details are
11:33 added to each of these work items now
11:35 let's navigate over to timeline and the
11:38 timeline view is ideal for understanding
11:40 dependencies and the start and end dates
11:42 of your different work items you can see
11:44 our different items here this is our
11:46 first epic and you can see within this
11:48 epic we have this one story that
11:50 includes two tasks and then we have
11:52 another story here if we click on this
11:55 drop down next to our second epic you
11:57 can see we have one story and you can
11:59 see how your items are connected now now
12:01 let's navigate over to board this shows
12:04 you to do in progress and done for
12:05 example I'm going to navigate over to
12:08 backlog and let's say the Sprint we
12:09 already started you can see we have the
12:11 plan date here but I'm just going to
12:13 start the Sprint now and you can see
12:15 under board we now have these three
12:18 items that need to be completed if I
12:20 click on this item here and let's change
12:22 the status to in progress you can see
12:24 that automatically that work item will
12:27 shift from Todo to in progress now if we
12:29 click on this drop down and click on
12:31 view workflow we can edit this workflow
12:33 if we like simply come down click on
12:35 edit workflow and here you can make
12:37 changes to your workflow I'm going to
12:39 leave this for now by discarding changes
12:41 and leaving now I can also navigate up
12:43 here and type in review and click the
12:46 screen tick and then move this status
12:48 over here and once our div team has
12:50 worked on this task they can move this
12:52 task over to review before it's
12:54 completed then we can navigate over to
12:57 list and you can see all your items as a
12:58 list view you can see your different
13:01 color across here status Sprint who the
13:03 work item is assigned to the due date
13:06 labels and more we can click add and we
13:08 can add additional custom Fields if we
13:11 like if we navigate over to issues here
13:12 you can see all your different work
13:15 items in detail if we navigate down to
13:17 project Pages this is where you and your
13:19 team can collaborate and share
13:21 information through pages if we navigate
13:24 over to retrospective this is where you
13:26 can create a page for you and your team
13:28 to reflect on the different elements
13:30 inside your Sprint that went well and
13:31 what you need to improve on if we
13:34 navigate up to dashboards we can view
13:35 our default dashboard we can view all
13:37 dashboards and we can create a new
13:39 dashboard to view and manage our
13:42 projects if we navigate up to apps you
13:44 can simply integrate thirdparty apps
13:46 with your J software for example for
13:48 internal communication you can use slack
13:50 if you want to capture information
13:52 through forms you can integrate Google
13:54 forms or any other form Builder you can
13:56 enable time tracking by adding the app
13:59 time Camp so you and your team can start
14:01 tracking time and you can connect many
14:02 other important apps by simply
14:05 navigating down to explore more apps if
14:07 we click up here and then navigate over
14:08 to your work you can see all work
14:11 assigned to you recent as well as boards
14:13 for example let's go to your work page
14:14 and that's going to take you to your
14:16 recent projects as well as the work
14:18 items that you've worked on and you can
14:21 see work items that are assigned to you
14:23 now if we navigate up to projects and
14:24 let's say we want to create a new
14:26 project then here you can create a new
14:28 project from scratch or you can choose
14:31 from pre-made templates for example can
14:33 ban scrum if we navigate down to
14:35 different projects like product
14:37 management service management and even
14:40 marketing down here we have access to
14:41 all these different project management
14:44 templates remember jera is not just for
14:46 agile project management you can manage
14:48 different types of teams and projects
14:50 and connect all these different projects
14:52 together using this one platform let's
14:54 navigate back up to software development
14:56 and then click on can ban and then
14:58 select use template here you can choose
15:00 the project type if you have a large
15:02 organization most likely you have
15:04 specific teams and so you want to create
15:07 a project that is team manag however if
15:09 you're a small business and everyone
15:11 inside your organization is responsible
15:14 or important in regards to this project
15:16 then company managed is the structure
15:18 you want to go for let's come down and
15:19 click on select a company managed
15:21 project then simply add your project
15:24 name and key then come down and click on
15:26 next and that's going to take us back to
15:28 the can band board again you can jump
15:30 between these different views okay so
15:32 let's jump back to our original project
